Professional desktop publishing, or DTP, ensures that translated documents remain clear, readable, and visually consistent after translation.

When text moves from one language to another, the layout often changes. Sentences may become longer or shorter, headings may no longer fit, tables may shift, and fonts may not support the target language correctly.

Layout after translation

Multilingual Layout Adaptation

Multilingual DTP adapts the layout of a translated document so that it works naturally in the target language. This may include adjusting text boxes, headings, tables, captions, page breaks, footnotes, graphics, spacing, and font settings.

The goal is not to redesign the document, but to make the translated version look clean, consistent, and ready to use. We follow the original visual structure wherever possible while making the changes needed for readability, page flow, visual hierarchy, and language-specific requirements.

Source-file assessment

OCR for scanned and non-editable documents

Some documents cannot be translated or formatted efficiently until they have been converted into editable text. Scanned PDFs, image-based files, photographs of documents, and poorly structured source files often require OCR before translation or desktop publishing work can begin.

We use OCR to extract text from non-editable documents and prepare it for further processing. The extracted text is then checked, cleaned, and structured so it can be translated, reviewed, and formatted with fewer technical errors.

OCR is especially useful for:

  • Scanned contracts, certificates, and corporate documents
  • PDF files without selectable text
  • Documents with complex tables, columns, or mixed formatting
  • Legacy files available only as images or scans
  • Documents that require translation followed by layout restoration
  • Image-based files that need editable text

Quality depends on source condition. Clear scans, good contrast, and readable fonts produce better results. Where the original file is damaged, blurred, low-resolution, or heavily handwritten, additional manual work may be required.

For projects that require both text extraction and layout work, we can provide OCR together with desktop publishing. This helps preserve the structure of the original document and supports a clean, readable final translated file.

Multilingual typography

Typesetting for Complex Scripts

Different languages require different layout decisions. Some languages expand significantly after translation, while others may be more compact. Some scripts require specific fonts, spacing, line breaks, or directionality.

We support multilingual typesetting for Latin, Cyrillic, and other language scripts, including right-to-left and bidirectional text where required. We check that characters display correctly, text flows naturally, and the document remains legible in the final format.

Print-ready and Digital Deliverables

Depending on your project, we can prepare files for print, digital publication, internal use, or further editing by your design team. Final deliverables may include an editable file, a print-ready PDF, a web-ready PDF, or a reviewed reference PDF for approval.

For print projects, we recommend confirming technical requirements in advance, including trim size, bleed, margins, colour profile, image resolution, printer specifications, and any internal approval requirements.

PDF Recreation and Formatting

If the original editable file is not available, we can assess whether the document can be recreated from a PDF or scanned file. This may involve rebuilding the layout, extracting or retyping text, recreating tables, adjusting images, and preparing a clean editable version.

The achievable result and required scope depend on the quality, complexity, and editability of the source file. A simple PDF may be straightforward to recreate, while a scanned, image-heavy, or highly designed document may require additional manual layout work. We assess the source before confirming the appropriate workflow.

Accessibility requirements

Accessible PDFs and Document Remediation

Where required, we can help prepare digital documents with accessibility in mind. This may include checking reading order, heading structure, tags, alternative text for images, tables, and document metadata.

Accessible PDF requirements may vary by jurisdiction, organisation, publication context, and requested standard. If your document must address a specific standard, such as PDF/UA, WCAG-related requirements, or another internal accessibility requirement, please tell us before the project begins so that we can assess the scope correctly.
